We’re so excited to host you! Planning a retreat can feel overwhelming, especially if you’re new to the process or this is your first time at Laurelville. Don’t worry – we’re here to help make the process as smooth as possible! Follow the steps below to plan well for your retreat, and always feel free to reach out to us if you don’t see an answer to your question here.

Step by Step Guide

  1. If you haven’t already, reach out to our reservation team to inquire about dates, rates, availability, accommodations, and options. We are happy to help find the right package for your needs.
  2. Once you have a contract, you will receive important information about Laurelville. Please make sure to read through this carefully – many of your questions will be answered in this paperwork. Links to this information can also be found below.
  3. Make sure to set up your registration in the way that most easily allows you to collect the right information. The best way to do this is to use the system and language that is on your contract. For example, if you have “all-inclusive” rates (lodging and meals are combined in one, per person rate), have participants sign up in this way. All inclusive rates are often broken down by the number of people in a room/building, so make sure you are collecting this information so you can report it to Laurelville. Additionally, your final information is due to us 10 days before your event, so make sure your registration is closed in time for you to report this information.
  4. Start thinking about the plans for your retreat programming and what you might need – do you want a people mover tractor ride? Do you want your participants to use the ropes course or have a private night swim? Reach out to Laurelville as soon as possible about any needs that involve scheduling a specific activity or staff time.
  5. If you are taking meals, make sure to collect any special dietary needs from your group and report it to us no later than 1 week before your retreat.
  6. A few weeks before the retreat, wrap up registration and program planning. Make sure you have your list of set-up needs (tables, chairs, campfires, AV, etc), ready to report to Laurelville. A full list of available supplies can be found in our Information Packet.
  7. Assign rooms if applicable and have the list of rooms you are using ready to report to Laurelville.
  8. Fill out the Final Group Report.
